CANCELLATION & RETURN POLICY

This Cancellation & Return Policy (“Policy”) explains the conditions under which cancellations, withdrawals, refunds, or returns may be requested for services, programs, memberships, events, certifications, publications, and products offered by AERO FEDERATION OF INDIA (AEROFEDERATION).

This Policy must be read in conjunction with our Terms & Conditions, Privacy Policy, and Honor Code & Research Ethics Charter. In the event of any inconsistency, this Policy shall prevail only for matters relating to cancellation, return, and refund.

1. PURPOSE & GOVERNING PRINCIPLES

AEROFEDERATION is a non-profit, mission-driven organization. Fees and contributions are primarily utilized for:

  • Educational delivery

  • Research & innovation programs

  • SDG-aligned national and global initiatives

  • Administrative and operational sustainability

Accordingly, refunds and returns are limited, carefully regulated, and governed by principles of:

  • Transparency

  • Fairness

  • Financial accountability

  • Legal and ethical compliance

 

2. DEFINITIONS

For clarity, the following terms apply:

  • “Cancellation”: A request by a participant to withdraw from a paid service, program, event, or membership before its commencement or delivery.

  • “Return”: The physical return of an eligible tangible item (if any) supplied by AEROFEDERATION.

  • “Refund”: Reversal of an eligible payment to the original payment method.

  • “Service”: Any non-tangible offering such as membership, event participation, training, certification, research access, or digital content.

  • “Program Commencement”: The official start date/time of an event, course, membership period, or service delivery.

  • “Donation”: A voluntary contribution made without expectation of goods, services, or commercial benefit.

 

3. GENERAL NO-RETURN POLICY FOR SERVICES

Due to the intangible, time-bound, and resource-allocated nature of most AEROFEDERATION offerings:

  • Services once accessed, initiated, or delivered are non-returnable

  • Digital access, credentials, certificates, or memberships cannot be returned

  • Participation-based benefits are non-transferable and non-exchangeable

 

4. CANCELLATION POLICY – SERVICES & PROGRAMS

4.1 Cancellation Before Program Commencement

A cancellation request may be considered only if:

  • Submitted in writing to the official AEROFEDERATION email

  • Received before the officially declared commencement date

  • The program has not yet allocated irreversible costs (e.g., certification issuance, seat locking, logistics, or third-party commitments)

Eligible Outcome (if approved):

  • Partial refund after deduction of administrative and processing charges

  • Or conversion into future program credit (at AEROFEDERATION’s discretion)

4.2 Cancellation After Program Commencement

Once a program, event, course, membership, or certification has commenced:

  • No cancellation or refund shall be permitted

  • This includes:

    • Partial attendance

    • Non-utilization due to personal reasons

    • Schedule conflicts

    • Change of interest

 

5. MEMBERSHIP CANCELLATION & REFUND POLICY

5.1 Membership Fees

  • Membership fees (Student, Associate, Professional, Honorary, etc.) are non-refundable

  • Membership validity remains effective until expiry, even if unused

5.2 Voluntary Withdrawal

If a member voluntarily withdraws:

  • No refund, prorated or otherwise, shall be issued

  • Previously granted benefits or recognitions may be revoked if terms are violated

 

6. EVENT, CONFERENCE & WORKSHOP REGISTRATIONS

6.1 Prior to Event Start

  • Cancellation requests received at least 7 working days before the event may be considered

  • Refunds, if approved:

    • Shall exclude platform, payment gateway, and administrative charges

    • May be issued as credit for future events

6.2 After Event Start or No-Show

  • No refunds for:

    • Non-attendance

    • Partial attendance

    • Late arrival or early exit

 

7. CERTIFICATIONS, FELLOWSHIPS & RECOGNITIONS

Due to verification, evaluation, and credential integrity requirements:

  • All certification, fellowship, and recognition fees are strictly non-refundable

  • Cancellation requests after application submission are not entertained

  • Certificates already issued cannot be revoked for refund purposes

 

8. DONATIONS, GRANTS & SPONSORSHIPS

8.1 Donations

  • Donations are voluntary and non-refundable

  • Once acknowledged or utilized, donations cannot be reversed

  • Donors are encouraged to review objectives before contributing

8.2 Grants & Sponsorships

  • Governed by separate written agreements or MoUs

  • Refund or cancellation terms (if any) are defined therein

 

9. PHYSICAL GOODS (IF APPLICABLE)

In rare cases where AEROFEDERATION supplies physical items (e.g., kits, publications, ID cards, merchandise):

9.1 Eligible Returns

Returns may be accepted only if:

  • Item is damaged, defective, or incorrect

  • Reported within 7 days of delivery

  • Item is unused and in original condition

9.2 Non-Eligible Returns

Returns shall not be accepted for:

  • Customized or personalized items

  • Digital or downloadable materials

  • Items damaged due to misuse or negligence

Replacement or refund (at AEROFEDERATION’s discretion) shall be processed after verification.

 

10. NON-REFUNDABLE SCENARIOS (CLARIFIED)

No refunds shall be issued in cases of:

  • Violation of Terms & Conditions or Honor Code

  • Academic or ethical misconduct

  • Disqualification or termination by AEROFEDERATION

  • Force majeure disruptions once services have commenced

  • Failure to meet eligibility or documentation requirements

 

11. FORCE MAJEURE & PROGRAM MODIFICATIONS

In events beyond reasonable control (natural disasters, government orders, pandemics, national emergencies):

  • Programs may be rescheduled, converted to virtual mode, or modified

  • Refunds are not guaranteed

  • Participation may be transferred to a future edition where feasible

 

12. REFUND PROCESS & TIMELINES

12.1 Request Procedure

All cancellation or return requests must:

  • Be submitted in writing to official AEROFEDERATION email ID

  • Include:

    • Registered name

    • Transaction reference number

    • Program or service details

    • Reason for request

12.2 Processing Timeline

  • Approved refunds are processed within 15–30 working days

  • Refunds are issued only to the original payment method

  • Bank or gateway delays are beyond AEROFEDERATION’s control

 

13. DISCRETIONARY AUTHORITY

AEROFEDERATION reserves the sole and final authority to:

  • Approve or reject any cancellation or refund request

  • Determine refund amount and mode

  • Offer credits instead of monetary refunds

Such decisions are made in good faith, aligned with:

  • Organizational sustainability

  • Legal obligations

  • Ethical governance

 

14. GOVERNING LAW & JURISDICTION

This Policy is governed by the laws of India.
Any disputes arising shall be subject to the exclusive jurisdiction of competent courts in New Delhi, India.
